Ministry Assistant

Position Summary

The Pastoral Executive Assistant provides high-level administrative, organizational, and relational support to the pastoral leadership team. This role enables pastors to focus on spiritual leadership, preaching, vision, and pastoral care by managing schedules, communication, projects, and ministry logistics with excellence, confidentiality, and a servant-hearted spirit.

Key Responsibilities

Administrative & Executive Support

  • Manage calendars, appointments, meetings, and travel arrangements for assigned pastor(s).
  • Prioritize and coordinate daily workflow, ensuring the pastor’s time is protected and aligned with ministry priorities.
  • Prepare agendas, notes, presentations, and materials for meetings, sermons, and pastoral engagements.
  • Handle correspondence, email communication, and follow-up on behalf of the pastor.

Communication & Relationship Management

  • Serve as a primary point of contact between the pastor and staff, congregants, ministry partners, and external stakeholders.
  • Ensure timely, clear, and professional communication that reflects the pastor’s voice and the church’s culture.
  • Exercise discernment and confidentiality when handling sensitive or pastoral information.

Project & Ministry Support

  • Assist with ministry projects, initiatives, and events as assigned by the pastor.
  • Track progress, deadlines, and deliverables, ensuring nothing falls through the cracks.
  • Coordinate logistics related to sermons, services, pastoral care, outreach, or leadership meetings.
  • Support weekend services when needed (e.g., green room prep, sermon materials, hospitality).

Organizational Oversight & Systems

  • Maintain files, databases, records, and ministry systems with accuracy and organization.
  • Help streamline administrative processes and recommend improvements.
  • Work collaboratively with other departments (e.g., communications, operations, worship) to support pastoral objectives.

Pastoral Care Support

  • Assist in scheduling counseling sessions, hospital visits, weddings, funerals, and other pastoral care requests.
  • Help coordinate follow-up for prayer requests, congregational needs, or pastoral referrals.
  • Facilitate communication with leaders, volunteers, or ministry teams as directed.

Qualifications

Education & Experience

  • Bachelor’s degree preferred (Business, Communications, Ministry, or related field).
  • 3–5+ years of administrative or executive assistant experience (church or nonprofit experience a plus).
  • Experience supporting senior leaders or working in fast-paced environments is highly valued.

Work Environment

  • Office-based role with regular interaction with pastors, staff, volunteers, and congregants.
  • Sunday, evenings, or event support may be required based on ministry needs.
